SharePoint — FAQ

SharePoint vs OneDrive — when to use which?

OneDrive is for personal work-in-progress; SharePoint is for team, project and department content with shared ownership and governance.

Folders or metadata?

Both. Use shallow folders for broad categories, and metadata for filtering, views and retention — the goal is fast findability.

How do you set permissions?

Group-based access (M365/security groups), clear site roles, minimal item-level breaks, and governed guest access with expiry and reviews.

Can we keep legacy file shares?

You can, but we usually migrate for versioning, sharing, search and retention. We map old paths, train users and run a clean cutover.

Do you build intranet homepages?

Yes — hub sites with audience-targeted news, navigation and quick links. Clean, fast and easy to maintain.

How do you handle retention and compliance?
